Livonia Central School District Facilities Use

Livonia CSD welcomes the community to utilize its facilities for educational, civic, and recreational purposes when not in use for school activities. Follow this easy guide to determine eligibility, understand group classifications, submit requests, and meet requirements for safe and responsible facility use.

  • School facilities can be used for:

    • Non-profit educational, civic, or recreational events (open to the public).
    • Examples: Meetings, lectures, classes, competitions, concerts.

    Not allowed: Personal profit, exclusive organizations (except veterans or firefighters), or activities violating school policies.

  • Group 1 (District Activities):

    • School programs, LCS Continuing Ed, LCS BOE, or employee events.

    Group 2 (Community Activities):

    • Town of Livonia rec, local youth leagues, Scouts, or afterschool programs.

    Group 3 (Other Non-District Activities):

    • Non-profits, swimming clubs, or other outside organizations. Group 3 is open to students and people outside the Livonia School District
    • Signed Facilities Use Guideline Form
    • Certificate of Insurance (Group 2 and 3)
      • Livonia Central School District named as an Additional Insured 
      • Minimum of $1,000,000 limit is required for each occurrence
      • Waiver of Subrogation
      • Sexual Molestation Coverage
    • Signed Hold Harmless Agreement (Group 2 and 3)
    • Proof of non-profit status
    • AED Implementation Plan - All outside groups using our facilities for camps, youth sports, or similar activities are required to comply with New York State legislation S.7424/A.366A by establishing an AED implementation plan. This plan must ensure that AEDs are accessible at every event and that at least one trained individual is present.
    • Flyers or promotional materials (groups 2 and 3 must include District-approved disclaimer).
  • General Use Hours (Sept – June):

    • Fields: 8:00 AM – 8:00 PM (M-Sat)
    • Buildings: 8:00 AM – 10:00 PM (M-F) 8:00 AM – 8:00 PM (Sat)

    Summer Hours (July – August):

    • Fields: 7:00 AM – 8:00 PM (M-Sat)
    • Buildings: 7:00 AM – 3:00 PM (M-F)

    Sunday Use: Limited for trained Group 2 or 3 users (8:00 AM – 4:00 PM). More information Below

  • Fees (Group 3)
    Facilities have per-use fees (e.g., $75/3 hours for classrooms or gyms).

    Additional charges (Group 2 and 3):

    • Custodial services (weekend/after-hours)
    • Foodservice or lifeguards
    • Tech manager ($125 per event for the auditorium).

    Use outside of these hours and on all holidays will incur labor costs and groups will be invoiced at the actual costs for the labor including overtime rates and required expenses

  • Sunday Requirements for FREE use

    The District permits non-district community activities to use facilities on Sundays under specific conditions. Sunday use is allowed from 8:00 AM – 4:00 PM, provided the following rules are met:

    Sunday Use Requirements

    1. Mandatory Volunteer Training:
      • A responsible group member must complete required training.
      • The volunteer’s license must be scanned through the Raptor system.
      • The volunteer must receive approval from the Board of Education.
    2. Restricted Activities:
      • No competitions, public performances, or events with spectators.
      • No mandatory activities for students unless approved in writing by the Superintendent.
    3. Required Documentation:
      • Groups must meet all facilities use requirements
    4. Weather Considerations:
      • No snow removal: The District does not clear snow for non-school Sunday events.
      • Groups must monitor weather and cancel activities if unsafe.
    5. No District Staffing:
      • Custodial or other staffing will not be scheduled.
      • Activities must be led by the trained, approved volunteer.

    • To become a Facility  Requester complete the online Facilities Use Requester Application.
    • Submit your request 15–30 days before your event in rSchool.
    • Provide required documents
    • Attach promotional materials and required forms
    • For seasonal requests: Submit all dates together to help with scheduling.

    IMPORTANT 

    The district follows a priority of approval.  Requests are approved in the following priority.  Community and outside group requests can be canceled and/or changed to accommodate LCSD groups.

    1. District Events
    2. Building Events
    3. Livonia CSD Athletic Events and Teams
    4. Community Groups
    5. Outside Groups
    • Respect District policies: No smoking, vaping, open flames, or alcohol.
    • Leave spaces clean: Trash bagged and removed after outdoor events.
    • Equipment Use: List all equipment and materials that you need in your request.

Before using Livonia CSD facilities, ensure you’ve completed the following steps and gathered all required documentation.

  •  For recurring/seasonal events, submit all dates together.

Step 5: Follow Safety and Event Guidelines

  • Clean up after your event: Leave spaces tidy and remove trash.
